REVIEW REPLIES

Avoid confirming private customer information in replies

A public reply can reveal more than the original review if staff add information from internal records. This is especially risky for clinics, hotels and other services where even confirming a visit may be sensitive.

A practical workflow

  1. Limit the reference

Respond to the published concern without adding private account, treatment or stay details. Do not quote internal notes.

  2. Move follow-up appropriately

Offer a private support route for facts that need checking. Keep public wording general and respectful.

  3. Review sensitive cases

Have a designated person approve replies involving healthcare, minors, disputes or personal circumstances.

Avoid this mistake

Do not identify someone through dates, room numbers, records or staff recollections.

What to check

Check every factual addition to see whether it was already public and necessary to repeat.

Check the publication boundary

A reply draft and a public response are different states. Publishing to Google requires approved application setup and an authorised Business Profile connection. If those are unavailable, do not describe the draft as sent. Optional automatic replies should have an explicit owner policy and ongoing checks. The business remains responsible for the wording published under its name.
