A practical workflow
Name the experience
Refer to a specific detail from the review when appropriate. Avoid inventing the customer’s order, treatment or purchase.
Keep the tone natural
Thank the person in the business’s usual voice. A short, relevant reply is often clearer than a long promotional paragraph.
Check before publishing
Review names and facts, then publish through the platform or an authorised connection. Do not imply a public reply was sent when only a draft exists.
Avoid this mistake
Avoid adding discounts, private customer details or unrelated service claims to a simple thank-you.
What to check
Check relevance and accuracy across replies rather than maximising reply length.
Check the publication boundary
A reply draft and a public response are different states. Publishing to Google requires approved application setup and an authorised Business Profile connection. If those are unavailable, do not describe the draft as sent. Optional automatic replies should have an explicit owner policy and ongoing checks. The business remains responsible for the wording published under its name.
