REVIEW REPLIES

Avoid copy-and-paste business replies

Templates can provide a starting structure, but identical replies make it hard to show that a review was actually read. Use a consistent tone while responding to the customer’s specific experience.

A practical workflow

  1. Keep a simple structure

Acknowledge the experience, respond to the relevant detail and offer a next step when needed. Do not turn the structure into fixed text.

  2. Personalise carefully

Use only facts present in the review or verified by the responsible team. Avoid overfamiliar references to private customer history.

  3. Remove repetition

Read recent replies together and look for repeated phrases. Vary the wording naturally without forcing novelty into every sentence.

Avoid this mistake

Do not paste a service list or location keywords into every response.

What to check

Sample recent replies for relevance, accuracy and unnecessary duplication.

Check the publication boundary

A reply draft and a public response are different states. Publishing to Google requires approved application setup and an authorised Business Profile connection. If those are unavailable, do not describe the draft as sent. Optional automatic replies should have an explicit owner policy and ongoing checks. The business remains responsible for the wording published under its name.
