REVIEW REPLIES

Correct an inaccurate public reply

A published reply can contain a mistaken name, an unsupported promise or an inappropriate tone. Correct the wording promptly through the authorised platform process and use the incident to improve approval checks.

A practical workflow

  1. Check the current version

Confirm what is actually public before editing. Another team member may already have corrected the reply.

  2. Make a focused correction

Remove the inaccurate or private detail and preserve a respectful acknowledgement. Avoid adding more customer information to explain the mistake.

  3. Review the cause

Identify whether the issue came from a template, AI draft or approval process. Change the relevant check rather than relying on memory.

Avoid this mistake

Do not publish a second argumentative reply to defend the first mistake.

What to check

Confirm the corrected public text and test the approval step that previously missed the issue.

Check the publication boundary

A reply draft and a public response are different states. Publishing to Google requires approved application setup and an authorised Business Profile connection. If those are unavailable, do not describe the draft as sent. Optional automatic replies should have an explicit owner policy and ongoing checks. The business remains responsible for the wording published under its name.
