Plan monthly AI usage across a workspace

Several AI activities can share a provider even when they have different product allowances. Customer drafts, reply assistance and analysis should be planned separately so an owner understands which limit has been reached.

A practical workflow

  1. Read the workspace limits

Check the selected plan and current usage. Scale’s 200 monthly customer drafts do not mean unlimited provider capacity.

  2. Separate the jobs

Reply generation and feedback analysis have their own controls. Avoid interpreting an analysis allowance as spare customer draft credits.

  3. Allow for availability

Provider throttling and outages can affect requests before a plan balance reaches zero. Keep retry messages accurate.

Avoid this mistake

Do not add keys or projects to bypass a provider’s restrictions.

What to check

Use actual usage records and the specific error context rather than assuming every failure is the same quota.

Verify the actual setup

A feature can be present in the interface while still needing service configuration. Check the relevant connection, allowance and approval state before telling the team it is ready. Keep credentials in authorised administrator settings and private backups. Use sample data for routine checks and avoid sending real requests, publishing replies or making payments simply to prove a screen loads.
